  • You may be asked to provide personal information anytime you are in contact with us. You are not required to provide the personal information that we request, but, if you choose not to do so, in some cases we will not be able to fully provide you with our services or respond to any queries you may have.

     

    We may obtain information about you when you interact with us, for example;

     

    • When you contact us via e-mail, this website or by telephone.

    • If you directly give us any information via the forms on our website, for example; Sending us a message via our contact form or completing a booking form for one of our events.

    • If you subscribe via our website to receive our e-mail marketing newsletters.

    • If you provide personal information when you participate in fund raising activities at our events such as a raffle or auction.

    • As you interact with our website, we may automatically collect information about your equipment, browsing actions and patterns. We collect this personal information by using cookies and other similar technologies. Please see our cookie notice for further details.

  • We may also obtain personal information about you from certain publicly accessible sources, such as online customer databases, business directories, media publications, social media, websites, and other publicly accessible sources.

     

    Personal information we collect from third parties will generally be your name and contact details, but also any additional information they provide to us.

     

    Where we obtain personal information about you from a source other than yourself, we will provide you with the information in this privacy policy unless;

     

    • You already have the information.

    • Providing you with the information would prove impossible or would involve a disproportionate effort.

    • We are under an EU or EU member state law obligation to obtain or disclose the information which provides appropriate measures to protect your legitimate interests.

    • We are obliged to keep the information confidential as a result of an obligation of professional secrecy regulated by EU or EU member state law.


    Where we obtain personal information about you from a source other than yourself, and we are required to provide you with the information in this privacy policy, we will provide it to you at the following points in time;

     

    • If we intend to use your personal information to communicate with you, at the point when we first communicate with you.

    • If we envisage that we will disclose your personal information to a third party, when we disclose your personal information to that third party (at the latest).

    • In any other circumstances, within a reasonable period after obtaining your personal information (and in any event within one month at the latest), taking into account the specific circumstances in which we use your personal information.

    • Transaction information including details about payments to and from you and other details of products and services you have purchased from us.

    • Marketing and communications information including your preferences in receiving marketing from us e.g. frequency, preferred sport or geographic location.

    • Details of any disability, health needs or dietary requirements you have disclosed at the time of booking one of our events, confirming your attendance or that of your attendees. This information is collected to enable us to ensure accessibility, comfort and safety for you and your guests at one of our events.

     

    If you make a payment to us via debit / credit card, your financial information is not held by us, it is collected by Worldpay, our third-party payment processors who specialise in the secure online capture and processing of credit/debit card transactions.

     

    If you use our website, we will collect certain information from you including your IP address through your use of the website. You can read more about how we collect that information in our cookie notice.

  • We will only use your personal information when the law allows us to. Most commonly, we will use your personal information in the following circumstances;

     

    • Where we need to perform the contract we are about to enter or have entered into with you.

    • Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.

    • Where we need to comply with a legal or regulatory obligation.

     

    Generally, we do not rely on consent as a legal basis for processing your personal information however in certain circumstances it may be the only legal basis which we can rely open. Where we do need to rely on your consent it will be very clear at the point at which we collect the information from you that we are relying on your consent. Where we have obtained your consent to process certain personal information you have the right to withdraw your consent to that processing at any time by contacting us.

    • To contact you in the event any services you have requested or have purchased are unavailable or to notify you in the event of any changes to our services.

    • Investigating complaints.

    • Ensuring business policies are adhered to.

  • We are committed to providing you with choices regarding certain personal information uses, particularly around marketing and advertising. We would, from time to time, like to send you information about products and services of ours which may be of interest to you. You may decline to receive these at the point when we collect your personal information. 

     

    You may receive marketing communications from us if you have requested information from us, purchased from us, provided us with your details when you entered a competition such as a raffle or business card draw, purchased tickets for one of our events or registered for a promotion and, in each case, you have not opted out of receiving that marketing. 

  • You can amend you marketing preferences or ask us to stop sending you marketing messages at any time by following the unsubscribe or preferences links on any marketing message sent to you, by clicking here and amending your preferences or by contacting us.

     

    How long will we keep your personal information? 

    We review our retention periods for personal information on a regular basis. We will hold your personal information for as long as is necessary to fulfill the purposes for which it was first collected.

     

    In some circumstances we may anonymise your personal information so that it can no longer be associated with you, in which case we may use such information without further notice to you.
    Where you have chosen to unsubscribe from marketing communications, we will retain your contact details to ensure that you are not sent any further communications. This information will be held indefinitely.

  • We will only use your personal information for the purposes for which we collected it, unless we reasonably consider that we need to use it for another purpose and that purpose is compatible with the original purpose. If we need to use your personal information for an unrelated purpose, we will notify you and we will explain the lawful basis which allows us to do so.

  • Personal Touch Events LLP does not sell or trade your personal information. We do share your data with third parties who assist us in servicing you. These third-party service providers and suppliers include; IT and cloud services, e-mail marketing, venues and event hosting services, payment processing services and website operators. We require all third-party service providers to take commercially reasonable and appropriate security measures to protect the security of your personal information and to treat it in accordance with the law. We do not allow third parties to use your personal information for their own purposes. 

  • Some of our external third parties are based outside the European Economic Area (EEA) so their processing of your personal information will involve a transfer of data outside the EEA. 

     

    Whenever we transfer your personal information out of the EEA, we seek to ensure a similar degree of protection is afforded to it by ensuring at least one of the following safeguards is implemented;

     

    • We will only transfer your personal information to countries that have been deemed to provide an adequate level of protection for personal information by the European Commission.   • We have put in place commercially reasonable and appropriate security measures to protect your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal information to those people who have a business need to know. They will only process your personal information on our instructions and they are subject to a duty of confidentiality.

     

    Notwithstanding our implementation of these policies, please be aware that we cannot guarantee the security of any data that you send to us via the internet or which is collected using online devices/tracking technology.

  • It is important that the personal information we hold about you is accurate and up to date. If your personal information changes, please contact us.

  • Under certain circumstances, by law you have the right to;

     

    Request access to your personal information. This is commonly known as a subject access request. This enables you to receive a copy of the personal information we hold about you and to check that we are processing it lawfully.

     

    Request correction of the personal information that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you corrected.

     

    Request erasure of your personal information. This enables you to ask us to delete or remove personal information where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal information where you have exercised your right to object to processing (see below).

     

    Object to processing of your personal information where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground. You also have the right to object where we are processing your personal information for direct marketing purposes.

     

    Request the restriction of processing of your personal information. This enables you to ask us to suspend the processing of personal information about you, for example if you want us to establish its accuracy or the reason for processing it.

     

    Request the transfer of your personal information to another party.

     

    If you want to review, verify, correct or request erasure of your personal information, object to the processing of your personal data, request that we transfer a copy of your personal information to another party, please contact us.

     

    You will not have to pay a fee to access your personal information (or to exercise any of the other rights). However, we may charge a reasonable fee if your request for access is clearly unfounded or excessive. Alternatively, we may refuse to comply with the request in such circumstances.

     

    We may need to request specific information from you to help us confirm your identity and ensure your right to access the information (or to exercise any of your other rights). This is another appropriate security measure to ensure that personal information is not disclosed to any person who has no right to receive it.

     

    Where you have provided your consent to the collection, processing and transfer of your personal information for a specific purpose, you have the right to withdraw your consent for that specific processing at any time.
